Secretary Job Opening

Job Summary:

The Olde Town Covington secretary should be an enthusiastic and reliable individual who is knowledgeable of the
downtown area of Covington as well as the overall Alleghany Highlands. The secretary position is often the first
point of contact for Olde Town Covington and therefore will be required to handle community inquiries, media
requests, seek donations and solicit services, assist in obtaining quotes and handling the procurement of services
and necessary items for events. This position is responsible for contributing to various aspects of Olde Town
Covington special event efforts. The secretary requires strong communication skills, a pleasant demeanor and the
ability to maintain an open and good relationship with the local government, city departments, current and
prospective local businesses as well as community stakeholders.

Job Responsibilities:

  • Attend regularly scheduled monthly board meetings and take meeting minutes.
  • Prepare, distribute and post meeting minutes.
  • Prepare, distribute and post meeting agendas.
  • Send reminders for board meetings and committee meetings.
  • Manage phone messages, emails and social media messages/comments in a timely manner.
  • Create graphics and advertisements using CANVA.
  • Assist with managing social media accounts (i.e. Facebook, Instagram and Twitter).
  • Assist with fundraising and solicitation of services and other donations.
  • Assist with light bookkeeping and communicate with the treasurer.
  • Be familiar with policies and procedures of Olde Town Covington.
  • Maintain record of donations, volunteer hours and other documents deemed necessary and essential.
  • Perform other related duties as assigned.

  • Ability to collaborate with community organizations and city departments to utilize City resources for allied events.

Education and Experience:

  • High School diploma or equivalent required.
  • At least two years related experience is preferred but not required.
  • Previous employment history required.
  • Three personal and professional references required, no more than (2) personal references.


Pay rate:

  • $15.00 per hour.

Availability and schedule:

  • 15 hours per week.
  • The Olde Town Covington secretary will maintain posted office hours and communicate as needed when special meetings, events or schedule conflicts necessitate flexible scheduling and adjustments in the form of “comp time” to equal out correct paid hours per week.
  • Posted office hours will need to be between the hours of 8:00am and 5:00pm, Monday - Friday however, some evenings/weekend hours will be necessary.

  • While performing the duties of this job, the employee is regularly required to talk, hear, sit, stand and walk. They will be required to use their hands to manipulate, handle or feel and reach with hands and arms. The employee is occasionally exposed to outside weather conditions and is occasionally required to kneel, crouch and reach overhead. Specific vision abilities required by this job include clear vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Must possess the physical abilities to transport items for the office and special events weighing up to 25 pounds; transport self to meetings, events, etc.
  • Must possess the mental abilities to analyze, reason, comprehend, evaluate, organize, effectively communicate and handle the stress associated with the responsibilities of the position. The noise level in the office work environment is usually quiet however, events tend to be moderate-loud.
